Companies delegating workers abroad
We support companies that send employees to perform work in other EU countries and beyond: we calculate assignment costs, obtain A1 certificates, prepare visas and permits where required, run ZUS and payroll settlements, and keep local notifications on time.
A1 certificate
We prepare the ZUS application, keep Polish social security coverage in place and track the deadlines before the worker travels.
Assignment cost calculation
Per diems, accommodation, travel and transport - we calculate the costs under Polish rules and the requirements of the host country.
Visas and permits where needed
We check whether the employee needs a visa or a work permit and prepare the documentation.
ZUS and payroll for posted staff
We settle contributions and salaries for employees sent abroad, in one or several jurisdictions.

In which situations do we help?
The company sends employees to sites in other EU countries
Construction, installation, service, transport or production - the employee works abroad but stays your employee.
An A1 certificate is needed before travel
The trip is close and there is no confirmation yet that the worker remains in the Polish insurance system.
The delegation lasts longer than a few weeks
Longer assignments change the tax and social security consequences: the 183-day rule and local duties appear.
The team includes third-country nationals
For non-EU workers, the delegation rules are joined by a visa and a work permit.
The real cost of an assignment must be calculated
Salary, per diems, accommodation, transport, contributions and taxes change the cost of an hour of work abroad.
The host country authority asks for documents
The competent body may request the A1, notifications and payroll records - we prepare the set and reply.
What does the service include?
Assignment cost calculation
Per diems, accommodation, travel, flat allowances and transport - calculated under Polish rules and documented for accounting and audits.
A1 certificate
We prepare and file the ZUS application, track the validity period and the extension when an assignment is prolonged.
Visas and work permits
We check the requirements of the destination country and prepare the documents when the employee needs a visa or a permit.
ZUS and contributions
We settle contributions under Polish rules and check that the benefits related to the assignment are correctly classified.
Payroll for posted staff
Payrolls that take the foreign part of the salary, the local minimum rate and tax withholdings into account.
Taxes and the 183-day rule
We track the 183-day rule, tax residence and the risk of a foreign permanent establishment in the country of work.
Notifications to local authorities
We prepare the notifications required before departure and keep the confirmations.
Assignment documentation
Travel order, contract amendment, scope of duties and confirmations - a set an inspection will accept.
Where we file notifications
The scope depends on the country and the type of work; these are the bodies we work with most often:
For destinations outside the EU we check local rules and social security agreements - there a different certificate may replace the A1.
What does the process look like?
- 01
Diagnosis of the assignment model
We review who goes where, for how long, on what basis and what is already in place: A1, contracts, settlements.
- 02
Map of requirements per country
Separately for each: social security (A1), notifications, minimum working conditions, visas and permits, taxes.
- 03
Cost calculation and plan
We show the full cost of the assignment: salary, per diems, contributions, tax and fees, together with a notification calendar.
- 04
Formalities before departure
A1, notifications, travel order, contract amendments and payroll - all ready before the employee actually travels.
- 05
Support and period closure
We run the settlements during the assignment, extend documents when needed and close the period with a full set for accounting and inspections.
What do you receive after the period is closed?
- A1 certificate for each assignment period
- Assignment settlement and documentation: per diems, accommodation, transport
- Full assignment documentation for an inspection
- Notifications to host-country authorities with confirmations
- Payrolls of the delegated employees
- ZUS contribution and tax withholding settlements
- A deadline calendar: A1, notifications, tax, ZUS
The rules that set the cost and the timing
In the EU, posted-worker rules apply: the country of work sets the minimum terms - pay, working time, leave, safety and equal pay for equal work.
Social security: for an assignment of up to 24 months the worker as a rule stays in the sending country's insurance system - the A1 certificate confirms this. Without it, contributions arise in two countries or the local authority issues a request.
Taxes: up to 183 days the salary usually stays in the employer's country, beyond that it may move to the country of work; with a longer presence the risk of a permanent establishment appears. For destinations outside the EU, bilateral social security agreements apply and a different certificate may replace the A1.

Read the caseHow much does delegation support cost?
The cost depends on the scope, not on the number of employees alone:
- the number of workers and destination countries
- the duration and frequency of the assignments
- the scope: only A1 and notifications, or also payroll, contributions and taxes
- third-country nationals who need a visa or a permit
Cooperation model
Stage 1 - diagnosis
We review the current assignments and show the risks and duties for each country. The cost of the diagnosis is credited towards the project.
Stage 2 - ongoing support
A project for a specific assignment, or a standing subscription for delegations.
