Accounting and tax outsourcing for Berksan in Poland

Full-cycle accounting outsourcing was delivered by BIZ PARTNER as end-to-end management of the finance and accounting system of Berksan's Polish branch. We set up bookkeeping in line with Polish standards, organised day-to-day accounting support, ran regular reporting to head office, and ensured all project transactions were recorded correctly.

Document workflow automation was also introduced, speeding up processing of source documents and ensuring a single standard of financial information.

This service model produced a stable and transparent accounting infrastructure that supported the branch's operations throughout 2023-2026.

Tax representation and advisory was a key element of Berksan's operating model in Poland. As a foreign entity, the company needed a local authorised representative to fully discharge its obligations toward the Polish tax administration.

BIZ PARTNER took on this function, handling VAT registration, administering all related obligations, preparing and filing tax returns, and controlling the accuracy of tax calculations. The team also managed communications with tax authorities on all matters covered by Polish tax law.

Ongoing tax advisory was provided throughout the project, covering operational matters, the structure of financial flows between the Polish branch and head office, cross-border intra-group transactions, and the specifics of taxing a foreign contractor's activity in Poland.

Structuring Berksan's legal presence in Poland was the foundation for organising correct operational activity in the local market. The BIZ PARTNER team designed and implemented a legal model ensuring the client's formal presence in line with Polish and international law.

Corporate documentation was drafted and formalised, the operational structure of the Polish branch was defined, and legal formalisation of activity in Poland was completed. Internal processes were also set up to ensure regulatory compliance, including in corporate governance and financial administration.

The resulting structure ensured correct tax and accounting operation of Berksan in Poland and created a manageable basis for delivering a long-term engineering project at the LOTOS site.

Support with employing foreign specialists was split into a separate operational track ensuring compliance with Poland's immigration and labour requirements. BIZ PARTNER provided legal support for the employment of specialists involved in the LOTOS project.

Work included preparing and reviewing documents for work permits, coordinating application procedures, monitoring statuses and liaising with the relevant authorities. We also handled the legal side of employment contracts and the mandatory registrations in state systems.

The scale - around 200 specialists from 15 countries - required process unification, standard procedures and continuous coordination with immigration and administrative services. The approach made it possible to staff the project promptly in line with Polish law.
